Workflow Basics
This guide will give you a basic overview of all steps needed to create a scan workflow. Here is what you will need to do:

create a connector - connectors allow Dispatcher Paragon to connect to external systems such as Microsoft Exchange and shared folders, etc. All workflows will need one, one connector can be used by several workflows.

create a scan workflow - a workflow lets you configure a scan destination, scan options, access rights, etc.
Creating connector
Before creating your first scan workflow, you must create a connector. If you already created a connector, you can skip this step.

Go to Connectors screen and press Add connector button.

Fill in general information, which will help you distinguish this connector from another:

Name - a short title, which will help you distinguish the connector when choosing workflow destination during creating or editing workflow, maximum 64 characters

Description - additional information about the connector. Usually detailed information to help you and other Dispatcher Paragon administrators understand the purpose of the connector, maximum 300 characters

Select connector type, which suits your needs and follow specific instructions to configure it:

Save changes and continue to workflow creation. The created connector is available to be used in workflows now.
Creating workflow
You can create a workflow using a connector configured in the previous step. You can use variables in parameters to further customize the workflow. There are two kind of variables:

capture - defined during document capture phase, can be used in both capture and processing phase, e.g., user and device information

user input/process - defined from either a result of processing or user input fields, can be used in processing phase only, e.g., outputs from document processing, user input fields

Go to Workflows screen and press Add workflow button.

Fill in general information which will help you and Dispatcher Paragon terminal users to distinguish this workflow from another:

Name - should be a short description which helps terminal users with workflow selection, maximum 64* characters

Description - usually instructions for the terminal user that provide guidance on using the workflow, maximum 300* characters
*) Some embedded terminals do not support text of this length. In such case, the text is trimmed.

Select a destination connector and fill in information specific to connector type:

Select suitable scan settings:

Scan resolution - determines DPI of the scanned document.

Sides - determines whether the document will be scanned as duplex or simplex.

Color - determines the color scheme of a scan.
Settings are locked for Dispatcher Paragon terminal users by default, i.e. terminal users are not allowed to change them. If you want to allow terminal users to customize scan settings, check Can be modified by the user on the device option bellow settings. In that case selected values become defaults on Dispatcher Paragon terminals.

Define and rearrange user input fields. User input fields are helpful when you need to collect information provided by terminal users along with a scanned document. Value of each user input field is stored in a variable and can be accessed in the workflow during the delivery. Please note, you cannot use process variables in capture phase, i.e. you cannot use variables defined by user input fields in other user input fields. You can add a new user input by pressing Add user input button.

Provide roles with access to the workflow. This ensures that users in the roles will be permitted to use the workflow at Dispatcher Paragon terminals. If no role is specified, the workflow will not be available to any users.

Save your changes. The workflow is now available on terminals to all users in the roles to whom you provided access. We suggest to test a newly created workflow first before providing access to the workflow to real users. You can achieve this by providing access to administrators only at first.
